Finding a file is only part of the job. A trusted person also needs to know what it relates to, where the original is kept and what to do with it.

Start with the documents you already rely on

A home-loan agreement, an insurance policy, school information and a household account reference are useful starting points. Add each document to the relevant responsibility so the file and the everyday details are connected.

1. Give the document a clear name. “Home loan agreement” is easier to recognise than a scanner’s default filename.
2. Keep the file or record its location. You can attach a digital copy in NoteAway or record an original location such as “Study cabinet, blue household folder”.
3. Connect it to the right responsibility. Link the agreement to the home loan, or a policy to the insurance record, so the reference and contact are nearby.
4. Check who can see it. Review shared-household permissions before adding sensitive attachments.
5. Replace outdated copies. When a policy or agreement changes, keep the record clear about which document is current.

Why original locations matter

A digital copy can help someone identify the right record, but some processes may require the original. Record a location that another person can find without asking you. If it is held by a professional or institution, include their contact in the associated responsibility.
